Privacy Policy

1. About the app

This Privacy Policy applies to the Knowledgia parent mobile app and its related services at app.knowledgia.edu.pk, operated by Knowledgia International Schools & Colleges in Pakistan.

The app helps families receive school news, view information about their linked children, read class diary and daily work, receive updates, find official school contacts and communicate privately with the school office. Access to private features requires a school-issued parent account.

2. Information we handle

Depending on which features the school uses, we handle these types of information:

• Parent and guardian details: name, mobile number/login, CNIC where requested for identity verification or student linking, account status and a securely stored password hash (not a readable password).
• Linked student information: student name, registration number, class, section, academic year, school-provided photograph, parent/guardian links and relevant school records.
• School learning and administration: class diary, homework, worksheets, school notices and, where enabled by the school, fee or other student-specific status information.
• Private communication: messages exchanged between a parent and the school, including their timestamps and read status.
• App activity: notification delivery and read status, diary viewing, interactions with school posts and information needed to prevent misuse and diagnose errors.
• Device and technical information: app version, operating system/platform, device timezone, push notification token and limited security/session logs. If notifications are enabled, this information helps deliver school alerts.

Parent accounts and student details are ordinarily entered or imported by authorised school staff. The app does not need access to your personal SMS, call history or unrelated apps to provide its features.

3. How we use information

• To authenticate parents and display information only for their linked children.
• To deliver school notices, daily work, relevant student updates and parent–school messages.
• To send optional push notifications and maintain unread indicators.
• To maintain school records, respond to parent enquiries, investigate technical issues and protect account security.
• To understand engagement with school content, such as whether a post or diary item was viewed.

We do not sell parent or student personal information, and private student data is not used for third-party targeted advertising.

4. Who receives information

Authorised Knowledgia staff access information as needed to administer school accounts and communicate with families. A parent is shown only the children linked to that parent account, subject to school permissions.

We use technical service providers for hosting and, where enabled, notification delivery. Push notification tokens and the information needed to send an alert may pass through Expo's push service and the relevant Apple or Google notification service. These providers process information under their own service terms and privacy policies.

The app also offers links to Knowledgia's official Facebook, Instagram, YouTube and other external pages. Opening an external service is subject to that service's privacy practices. We do not give those platforms private parent–school messages or private student records simply because you use these links.

Information may also be disclosed when legally required or where needed to protect students, families, the school or the security of the service.

5. Children, photographs and public school posts

The app is designed primarily for parents and guardians, not for unsupervised use by children. We handle student information to deliver education-related services and take additional care with children's personal information.

Private student records, daily work, fee-related details and private conversations are not intended to appear on public pages. The school may separately publish selected school news, photographs or social media content where appropriate permission has been obtained. Approved public school posts and links can be viewed or shared outside the app.

If a parent has a concern about a student photograph or public school post, they can contact the school to request review or removal.

6. How we protect information

We use HTTPS for communication with the app, password hashing, account-based access controls, authenticated sessions and administrative restrictions. We limit private student content to authorised accounts and apply operational safeguards to school-managed data.

No internet-based service can guarantee absolute security. Please keep your school-provided password private and notify the school immediately if you suspect that someone else has accessed your account.

7. Retention of information

We keep parent app accounts, linked-student information, messages and activity records while they are needed to provide school services or for legitimate educational, administrative and security purposes. Device tokens and session information are retained only while needed for account access and notifications. Security logs and backups may remain for a limited operational period.

When information is no longer required, or when a valid deletion request is processed, we delete or anonymise it unless a legal obligation or legitimate school-record requirement calls for retention. Official academic records may be maintained separately from a parent app account under the school's records policies and applicable law.

8. Your choices and requests

• Push notifications: turn them off in the app's Profile settings or your device settings. Important in-app notices may still appear inside the app.
• Access or correction: ask the school office to review or correct parent details, CNIC, linked children or other inaccurate information after verifying your identity.
• Public content: request a review of any school post containing information or an image of your child.
• Account and data deletion: use the process below to request deletion of your app account and eligible associated personal information.

9. Account and data deletion

Parent accounts are created by the school, so deletion requests are handled by the school office after identity verification. You can request deletion of your Knowledgia parent app account by emailing info@knowledgia.edu.pk with the subject Knowledgia Parent App Account Deletion, or by contacting the school office.

Provide the mobile number used for login and enough information for the school to identify your account. Do not email your password or a copy of your CNIC unless the school specifically requests it through an appropriate secure process.

After verification, the school will review the request and remove the account and associated app data that it is no longer required to keep, including access credentials and device registrations. Data that must be retained for legal, educational or security reasons may be kept for those limited purposes, and the school can explain any such exception.

10. Changes to this policy

We may update this policy when app features, school practices, service providers or applicable requirements change. The effective date at the top of this page will reflect the current version. Material changes will be communicated through appropriate school channels.
